Receptly + AroFlo

Every call becomes an AroFlo task, with the client and the site attached.

AroFlo is built for field work, and its API is properly built too, with credentials tied to your account. Receptly answers the call, works out what the job is, and creates the task with the client, the site and the notes your techs need.

The gap

Field software is only current if the field feeds it

AroFlo assumes the work is happening away from a desk, which is right. The gap is the phone: the call arrives while everyone who could enter it is on a site. It becomes a voicemail, or a text between two people, and the task gets created late with the address retyped from memory.

For businesses running compliance or maintenance work the cost is worse than a lost job. A reactive call that never became a task is a job that never got its paperwork, and that’s the one the auditor asks about.

Signed requestsAroFlo credentials are tied to your account, not ours. Yours to revoke.
2,000 a dayAroFlo’s per-account limit. Phone volume for a trade business uses a fraction of it, so the sweep never crowds your other integrations.
Webhooks both waysAroFlo pushes events, so if a task changes after it’s created we can see it rather than guessing.

What you get

What lands in AroFlo after a call

  • The client Matched against your existing clients on phone and email; created only if genuinely new, with the details the caller gave.
  • The site The service address as a site under the client, with the access notes — gate code, keys, induction requirements, who to ring on arrival. On commercial sites that’s the difference between a completed job and a wasted trip.
  • The task Description in the caller’s own words, task type from your list, priority set from how urgent the call actually was, and the reported fault separated from the requested work.
  • Custom fields If you use custom fields for asset numbers, contract references or compliance categories, it can ask for them on the call and fill them in. Most integrations skip this; it’s usually where the useful data lives.
  • The call itself Summary and recording attached, so the tech allocated the task can hear the customer describe the fault.

Then it texts you the short version. The task exists in AroFlo before the caller has put their phone down.

Setup

Three steps, and we do two of them

  1. You issue credentialsAroFlo keeps its API off until your primary contact asks for it, and we write that request for you. Then you make an access token in Site Administration and send it through the secure link we text you. Step-by-step guide. Revoke them in AroFlo and the connection stops.
  2. We map it to how you workTask types, priorities, your custom fields, your sites and how they’re structured, which calls become tasks and which get a callback, and the floor under what gets created at all.
  3. We watch the first monthEvery task checked against the call. Wrong type, wrong priority, missing access note — we fix the script.

Boundaries

What it deliberately doesn’t do

  • It doesn’t touch existing tasks, quotes or invoices. It creates new records only.
  • It doesn’t complete or close anything. Task status stays with your techs.
  • It doesn’t price. It captures what you need to price.
  • It doesn’t delete anything, ever.

Questions about AroFlo

Straight answers

Can it set priority properly?

It asks the questions that decide priority — is it leaking now, is anyone without power, is the site shut down — and maps the answer to your priority list. It doesn’t guess from tone of voice.

What about maintenance contracts?

If a caller is on a contract, it can ask for the contract or asset reference and put it on the task, so reactive work lands against the right agreement instead of as a one-off.

Can I revoke access?

Yes, in AroFlo, without ringing us. The credentials are on your account.

Does it work for commercial site inductions?

It captures induction and access requirements as part of the site notes when the caller mentions them. It won’t book a tech onto a site it doesn’t have access details for unless you tell it to.
