Receptly + ServiceM8

Every call becomes a ServiceM8 job before you’re off the roof.

You already run ServiceM8. The problem isn’t the software, it’s that someone has to type the job in — and that someone is you, at nine o’clock, from a voicemail you half remember. Receptly answers the call and creates the job while you’re still on site.

Ring the demo and give it a job. Nothing really gets booked. It’ll tell you what it captured.

The gap

ServiceM8 is only as good as what gets into it

ServiceM8 is the best thing most Australian trade businesses have bought. It’s also the thing that quietly stops being current the week you get busy. A caller rings while you’re under a house, leaves a voicemail or doesn’t, and the job exists only in your head until you sit down at night. Half the time the address is wrong, the phone number’s a guess, and the job you booked on the phone at 4pm never made it to the schedule at all.

The gap isn’t ServiceM8’s fault and it isn’t yours. It’s that the phone and the software are two different jobs, and you can only do one of them at a time.

One placeThe job, the client, the contact, the address and the booking, all created in ServiceM8 from the call. Nothing to re-type at night.
API keyYou make it in ServiceM8 under Settings → API Keys and send it through a secure link. Needs a paid ServiceM8 plan. Revoke it in one click, any time, and we stop.
Your categoriesIt files the job under the job category you already use, so your reporting doesn’t get a new bucket called “AI”.

What you get

What lands in ServiceM8 after a call

  • The client If the caller is new, it creates the client record with their name, phone and email. If they already exist, it uses the existing one instead of making a duplicate.
  • The job Job description in the caller’s own words, the site address, the job category you nominate, and the access notes — gate code, dog, which unit, park out the front. Everything the person on the tools actually needs.
  • The job contact The person who rang, and if it’s a rental, the tenant as well as the agent, so whoever turns up rings the right number.
  • The booking If you’ve told it your hours and how long a standard job takes, it puts a job activity on the schedule and allocates it to the staff member you nominate. If you’d rather approve first, it holds the slot and texts you instead.
  • The call itself A note on the job with the summary, and a link to the recording, so the person doing the work can hear what the customer actually said.

Then it texts you the short version. By the time you’re back in the ute the job is in ServiceM8, in the right category, with the right address.

Setup

Three steps, and we do two of them

  1. You generate the keyIn ServiceM8: Settings → API Keys → Add API Key, Full Access. That’s the whole job on your side, and it needs a paid ServiceM8 plan. Send it through the secure link we text you. Step-by-step guide.
  2. We map it to how you workYour job categories, your staff, your standard job durations, your service areas, your rules for what gets booked and what gets a callback. That’s the setup call, not homework for you.
  3. We watch the first monthEvery job it creates in the first month gets checked against the call. If it filed something in the wrong category or missed an access note, we fix the script, not you.

Boundaries

What it deliberately doesn’t do

  • It doesn’t touch jobs that already exist. It creates new ones. Your history is safe.
  • It doesn’t invoice, quote or take payment. Money stays where you control it.
  • It doesn’t change your job categories, staff, or templates. It uses what’s there.
  • It doesn’t delete anything, ever.

Questions about ServiceM8

Straight answers

Does creating jobs cost me anything in ServiceM8?

No extra user: ServiceM8 doesn’t charge per user, and a key isn’t a user anyway. But each job the receptionist creates uses one job from your monthly ServiceM8 allowance, the same as a job you type in yourself. That’s why it only creates a job when the call passes the rules you set: minimum job value, your service areas, the work you actually do. A tyre-kicker outside your rules gets a polite callback promise and a text to you, not a job record you paid for.

Can I revoke access?

In one click, in ServiceM8, without ringing us. Delete the API key and the connection stops that second. We’d rather you had that button than a support ticket.

What if it books something I don’t want?

You set the floor. Minimum job value, suburbs you won’t drive to, jobs you don’t do, hours you won’t work. Anything outside them isn’t booked — it’s captured and texted to you to decide.

Do I need the ServiceM8 add-on version?

No. For a single business an API key is simpler, and it’s the path we use. The OAuth add-on route exists for software that needs to serve many ServiceM8 accounts at once; you’re one account, so the key is the right tool.
