Receptly + Fergus

Every call becomes a Fergus enquiry, job or booking. Automatically.

Fergus has a proper public API — one of the cleanest in the trade software market — and it has a native idea of an enquiry, which is exactly what a phone call is. Receptly answers the call and lodges it as an enquiry or a job, with the site and the customer attached.

The gap

The enquiry that never got entered isn’t an enquiry

Fergus is built around the flow from enquiry to quote to job to invoice, and it works — as long as the enquiry gets in at the top. What actually happens on a busy week is that the call comes while you’re on the tools, it becomes a voicemail or a scribble on a docket, and it enters Fergus two days later as a job with half the detail, or not at all.

Your pipeline then tells you a story that isn’t true. The enquiries you’re measuring are the ones you had time to type, not the ones you got.

POST /enquiriesFergus has a real enquiry endpoint, so a call goes in as an enquiry, not as a note stuck on something else.
100 a minuteFergus allows 100 API requests a minute per company. A busy storm day is nowhere near it, so nothing queues.
Token or OAuthA personal access token gets you live today, through a login you already pay for. No extra user, and you can revoke it yourself.

What you get

What lands in Fergus after a call

  • The customer and the site New customer created with name, phone and email if they’re new; matched to the existing record if they’re not. The site address goes on as a site, so the job is attached to a place, not a text field.
  • The enquiry or the job A pricing call goes in as an enquiry so it sits at the top of your pipeline where it belongs. A job the caller wants done goes in as a job. You decide which calls become which.
  • The contact The person who rang, with their number, plus the tenant’s if it’s a rental and the agent gave you one.
  • The calendar event If it’s a booking, it creates the calendar event on the right person’s day, with the address and the description. If you’d rather approve first, it holds the slot and texts you.
  • A note with the call The summary and a link to the recording on the record, so whoever picks the job up can hear what was actually said.

Then it texts you the short version. Your Fergus pipeline shows the enquiries you actually received, which makes the numbers in it worth reading.

Setup

Three steps, and we do two of them

  1. You issue a tokenIn Fergus: Settings → Integrations → Fergus API → generate a personal access token, from an Admin or Full User login you already have. Send it through the secure link we text you. Tokens last a year, and we remind you before it runs out. Step-by-step guide.
  2. We map it to how you workWhich calls become enquiries and which become jobs, who gets the calendar event, your standard durations, your service areas, and the floor under what gets booked at all.
  3. We watch the first monthEvery record it creates gets checked against the call for the first month. Wrong site, missing access note, enquiry that should have been a job — we fix the script.

Boundaries

What it deliberately doesn’t do

  • It doesn’t touch existing jobs, quotes or invoices. It creates new records only.
  • It doesn’t price a quote. It captures what you need to price one.
  • It doesn’t move anything through your pipeline. Stage changes stay yours.
  • It doesn’t delete anything, ever.

Questions about Fergus

Straight answers

Enquiry or job — which should calls become?

Most businesses want anything with a price question in it as an enquiry, and anything where the customer has already decided as a job. You set the rule on the setup call, and it can differ by trade: a blocked drain is a job, a bathroom renovation is an enquiry.

Will it create duplicate customers?

It looks for an existing customer on the phone number and email before creating one. Duplicates are the main way an automated integration ruins a database, so this is the part we check hardest in the first month.

Can I revoke access?

Yes, from inside Fergus, without ringing us. Kill the token and the connection stops.

What about attachments — photos the caller sends?

If a caller texts photos, they can be attached to the Fergus record rather than sitting in your messages. Useful for hot water units and switchboards, where the model number decides the quote.
